What is a sublandlord? How to simplify master-lease management with the system

1. What is a sublandlord?

A sublandlord is an agency or operator that leases a whole building or multiple rooms and then sublets to tenants. This role manages contracts and accounting with both the landlord and tenants, and without solid system support, it can get messy.

2. How does our system simplify sublandlord workflows?
  • ✅ Create the agency-landlord contract in [Master Lease (sublandlord)] mode to manage rent and deposit payable to the landlord together
  • ✅ The system auto-generates billing cycles—no manual setup for rent expenses
  • ✅ Accounting is centralized under [Accounting] > [Agency Accounts] for real-time payables
  • ✅ Supports renewals, signing, and other complete features
3. How to use the sublandlord features in the system
Step 1: Add property/contract and enable master lease

On the [Add Property/Contract] page, choose Master Lease (sublandlord) mode.

  • Set the property’s [Owner]
  • Configure with the landlord: rent, deposit, payment cycle, lease start/end dates

The system will automatically create:

  • Rent billing cycles payable to the landlord
  • Deposit billing cycles payable to the landlord

You can also add [Units] within the sublandlord property at this stage.

Step 2: View agency–landlord accounting

All payables to the owner can be viewed and managed under [Accounting] > [Agency Accounts].

To view a specific property's sub-landlord bills, go to the [Property Management] page, click the '...' in the top right, select [Sub-landlord Billing Cycle], and quickly check all rent and deposit billing cycles for that landlord.

Step 3: Move in tenants and set rent and utilities cycles

In the [Units] list, open the ... menu and choose [Move-in/Sign] to:

  • Add a tenant lease
  • Set rent, utilities calculation, and billing cycles

The system will auto-create receivable cycles and map them to accounting reports.

Step 4: Use renewals to extend the lease

When either the landlord or tenant contract expires, use [Renew] to continue with existing data—no need to re-create records.
