Is e-signing legal? A must-read for agents and landlords!
In today’s fast-moving rental market, brokerages and landlords face low signing efficiency, hard-to-reach tenants, and easily lost paper contracts.
Common signing pain points
- Agent pain points:Coordinating schedules with tenants and owners, even hand-delivering paper copies.
- Landlord pain points:Living far from the rental, requiring long trips or couriering paper copies.
- Tenant pain points:Can’t sign during work hours, delaying the process and risking lost opportunities.
- Paper-based pain points:Paper gets lost, hard to store, and hard to find.
Are e-contracts legally valid?
Not only in the United States—major countries and economies have long recognized e-contracts by law. For example:
- European Union:Under the eIDAS Regulation (EU Regulation No 910/2014), electronic signatures include Basic, Advanced (AdES), and Qualified (QES). AdES and QES have strong legal effect and can be used across borders.
- Japan:Under the Act on Electronic Signatures and Certification Business, e-signatures have the same legal effect as wet signatures if the signer is identifiable and the content is unaltered.
- Taiwan:Under Civil Code Art. 153 and the Electronic Signatures Act Art. 9, as long as intent is clear, e-contracts have the same legal effect as paper.
Additionally, technical logs generated during e-signing (e.g., IP address, timestamp, signer ID, signing sequence) not only prove consent but can also serve as evidence in court. These measures greatly enhance the security and credibility of e-contracts.
Benefits of e-signing
- Fast:Skip meetings and mailing—finish in minutes.
- Anytime, anywhere:Even if the landlord is abroad or the tenant is working late, they can sign via phone or computer.
- Save labor costs:No more duplicate trips for agents—save on travel and admin costs.
- System record retention:Every contract is automatically saved to the cloud for on-demand search and download.
Comprehensive support for online leasing
Tenant lease signing
We offer flexible signing options: Email notifications, on-the-spot signing, and remote signing via a unique link. Wherever tenants are, they can open the link on a phone or computer to sign—no paper or in-person meetings—dramatically improving efficiency.
Landlord authorization agreement
Beyond tenant leases, we offer a complete Owner Authorization Agreement so agents can obtain online authorization from landlords. It supports digital signatures and record retention, enabling a formal, legally enforceable relationship without meeting in person—enhancing professionalism and credibility.
Sign Now feature
For on-site signing, Sign Now lets landlords, agents, and tenants sign on the same device and finalize immediately. A PDF contract is generated in real time and saved automatically. Perfect when everyone is present or Email isn’t available, seamlessly moving in-person signing to digital—compliant and efficient.
Sign without Email
For tenants or landlords without Email, we provide a dedicated signing link. The system generates a unique URL; the agent or other party simply shares it to guide them to the signing page. No login, no downloads—making signing painless and smooth.
Signing progress tracking
Track each contract’s signing status in real time. See who has signed and who hasn’t, and send reminders with one click—avoiding missed signatures and speeding up operations, a powerful tool for agents and landlords.
Multi-language support
Our system supports 50+ languages—including Traditional Chinese, English, Japanese, Korean, Thai—so tenants and landlords can sign in their preferred language. Ideal for international operations, short-term rentals, and foreign tenants, removing cross-border barriers.
Auto-save contract files
Every completed contract is saved as a PDF and archived to the account. View, download, or print anytime—no more searching paper or fearing loss. This supports long-term retention and modern digital management.
