Why is setting rent billing periods so troublesome?

For most landlords or agents, configuring rent billing periods is tedious and error-prone. Periods aren’t always full months—when a lease starts or ends mid-month, you must manually create each period and handle odd days and line-item splits.It seems like just generating one billing period per month, but it actually involves:

  • Each period must include detailed line items:Besides rent, each period’s details can include fixed charges like elevator or internet fees, and metered items like electricity and water, so each bill matches real charges.
  • Handling odd days at the start and end of the lease
  • Adjusting period start and end dates as needed
  • Adding extra fees:For example, Japan’s shikikin (deposit) and reikin (key money), or end-of-lease cleaning fees
  • Landlords want all periods to end on the last day of each month
Typical odd-period scenarios

For student housing, some tenants take internships via school, so lease dates aren’t full months. For example:

rental term is 2022/4/24 to 2023/7/8, with monthly rent of $5,000.

If you auto-generate periods by installments, you’ll get:

Many landlords dislike fragmented periods and want to merge those two into one:

Sometimes special fees are needed

Beyond dates, local practices also matter. For example:

  • In Japan, shikikin (deposit) and reikin (one-time fee) are usually charged with the first period
  • End-of-lease cleaning is added to the last period

In the period manager, click the first period’s end date to:

  • Align all period end dates, e.g., make full-month periods
Add special charges to any period

Check the periods you want to add to, then add items such as:

  • Deposit, key money, renovation, cleaning, etc.
Period merge

For odd periods at the start or end, we provide:

  • Merge the first two periods’ amount and date range
  • Merge the last two periods’ amount and date range
Fine-tune amounts per period
  • If the auto-calculated amounts aren’t as expected, edit each amount manually to ensure accuracy
