How to use profit calculation in RentPackage to understand actual profits for landlords and the company.

1. What is Profit Calculation?

The money received isn't necessarily profit—rent may include deposits or prepayments that need to be refunded or are for future periods. Profit Calculation automatically separates these from true profit, providing a clear view of actual earnings.

Profit Calculation offers two tabs:

  • Owner Profit Calculation: Calculate the income, expenses, and actual profit for each property owner per unit.
  • Company Profit Calculation: Calculate the profits of real estate agencies or property management companies.

2. Enable Profit Calculation

Go to [ Accounting Management ] → [ Profit Calculation ] in the left menu. Then switch between the [ Owner Profit Calculation ] and [ Company Profit Calculation ] tabs at the top.

Select Profit Calculation from the Accounting Management menu, and access the Owner Profit Calculation tab.

3. Filter Criteria Explanation

The following filters are available at the top for viewing profits from different perspectives:

  • Property: Select the property to view.
  • Period: View by "Month", "Year", or specify any range with "Custom".
  • Calculation Basis: Switch between [ Accounts Receivable Date ] and [ Actual Received Date ] as the basis. "Accounts Receivable Date" uses the due date for the accounting period (accrual basis); "Actual Received Date" uses the actual payment date (cash basis).
  • Sort: Adjust the order of the detail list.
The Owner Profit Calculation page shows the profit formula and line chart at the top, with a detailed statement for each billing period below.

4. Profit Formula Explanation

The top of the page displays the composition of the amount for the selected period:

  • Receivables = Profit + Deposits/Advance Payments: In receivables, only 'Profit' is the actual earned part; deposits and advance payments might be refunded or be for future periods, so they are listed separately.
  • Profit = Income - Expenses: Total income of the selected period minus total expenses.
  • Deposits/Advance Payments = Deposits + Advance Payments: Separated for easy reconciliation.
Reminder: Deposits and advance payments are liabilities, intended to be refunded to tenants, and are not counted as profit to prevent overestimating actual earnings.

5. Line Chart Explanation

The page provides two line charts to help you quickly identify trend changes over periods:

  • Receivables Line Chart: Shows total receivables, profit, and refundable items for each period, allowing comparison of how much of the receivables are actual profit.
  • Profit Line Chart: View profitability, income, and expenses over periods to observe revenue and expense trends.

6. Billing Details

Below the line graph, each billing period within the selected time frame is listed, including rooms and tenants, billing range, accounts receivable date, actual received amount, and payment status.

Click the expand arrow on the left of the billing period to view [ itemized details ], such as rent income, utilities, advance payments, deposit income, and early termination income. Each amount is clearly detailed.

Reminder: To avoid double counting, 'Total Receivable' excludes supplementary billing amounts, and 'Total Received' excludes amounts offset by advance payments.
